Who this policy applies to

This policy applies to anyone who interacts with Memory Box by Lindsay: website visitors, prospective customers, current customers, people who contribute memories or participate in interviews, and anyone who communicates with us. It covers the information and materials you share with us while we are running our local pilot in Washington, North Carolina.

Information we collect

We collect only what is reasonably needed to respond to you and perform the service you ask about. That may include:

• Contact details — name, email address, phone number, mailing address, and the best way to reach you.
• Inquiry, order and project information — the service you are interested in, your memories or collection details, project size, deadlines, special requests, and notes from our conversations.
• Scheduling and communications — appointment preferences, interview dates, contributor contact information, and messages exchanged with us.
• Payment-related information — handled through our payment providers when applicable. We do not store full payment card details on our own systems.
• Memory materials — photographs, videos, audio recordings, documents, letters, artwork, handwriting, stories, interviews, recollections, and any other originals or digital files you provide for your project.
• Contributor information — names and contact details of family members or friends you invite to share memories, captions, identifications or context.
• Uploaded digital files — scans, photos, audio or video files you send to us directly or through our website.
• Website and technical information — browser type, device information, IP address, cookies and similar technologies, and usage analytics where we use them, to help the site work and to understand how visitors find us.

How we use information

We use what you share with us to:

• Respond to inquiries and schedule conversations.
• Scope, schedule, perform and deliver your requested service.
• Preserve, digitize, organize, edit and back up your media during production.
• Create approved story, art and keepsake projects such as Memory Books, Memoirs, Little Life Stories, Open When Cards and artistic recreations.
• Communicate with you about your project and answer questions.
• Process payments and keep business records.
• Maintain quality, safety and security for your materials and our systems.
• Improve our pilot services and workflows based on what we learn.
• Comply with applicable law or protect rights and safety.

Your media and family memories

The photographs, videos, audio, documents, stories, interviews and other materials you provide are treated as private customer project materials. We use them only to perform the service you requested and related communication. Memory Box does not claim ownership of your original content. You confirm that you have the right to provide the materials you send us and that you have obtained any needed permission from participants or owners before sharing their contributions.

Marketing and portfolio permission

We will not use your photos, videos, audio, stories, interviews, finished projects or other personal memory content in public marketing, social media, advertising, portfolio examples, demonstrations, or promotional AI examples merely because you purchased or inquired about a service. Separate, express permission is required before we use any of your materials that way. You may limit permission to specific material and specific uses. Declining permission will not affect your service or pricing.

AI and service providers

To perform and improve our services, Memory Box may use carefully selected software, AI-assisted tools, cloud storage, communications, design and production, transcription, printing, payment, scheduling, website and analytics providers. We share only the information reasonably necessary for the specific task.

AI may assist with tasks such as organization, transcription, enhancement, drafting, design assistance or workflow support. Memory Box remains responsible for human review where appropriate. Provider practices are governed by their own terms and privacy policies, and we aim to select and use tools that are appropriate for sensitive family materials. We do not make security guarantees on behalf of third-party providers.

Sharing

We do not sell, rent or trade your personal information. We share information only when needed to perform your requested service, with providers or collaborators directly involved in your project, when you direct or authorize us to share it, or when required by law or to protect rights and safety.

Artist and maker collaborations

Some offers, such as illustrated Little Life Stories or artistic memory recreations, require a professional artist or maker. When you select one of these offers, we share only the project information and materials reasonably needed for that commissioned work. Collaborators are expected to use your materials only for your project and to respect their private nature.

Storage and security

We use reasonable administrative, technical and physical safeguards to protect your information and materials. No system can be guaranteed completely secure. Physical originals are handled according to our project workflow. Digital working files and backups may be maintained during production and for a reasonable time afterward as described below.

Retention and deletion

We keep information and materials for as long as reasonably needed to complete your project, deliver it, maintain business and transaction records, resolve issues and meet legal obligations. Because Memory Box is still testing workflows during this pilot, we are not yet setting fixed deletion windows for every category of record. If you would like to ask about return or deletion of eligible project files, contact us at hello@memoryboxbylindsay.com. Some records may need to be retained, and backups may not disappear immediately.

Physical media

Your original photographs, tapes, films, documents and other physical items remain your property. They are returned to you according to the return method we agree on for your project. While we handle every collection with care, we cannot make an absolute guarantee against damage or loss of fragile, aged materials.

Cookies and analytics

Our website may use cookies and similar technologies to help pages load properly, remember preferences and understand how visitors use the site. Where we use analytics, the information is collected in a general way and used to improve the site. You can manage cookies through your browser settings.

Children and minors

Memory Box creates family products that may include information or images about children, but our services and orders are intended to be arranged by adults. We do not knowingly solicit children to independently purchase or order services. The parent, guardian or customer arranging the project is responsible for having the authority and permission to provide materials that include minors.

Your privacy choices

You can contact us at hello@memoryboxbylindsay.com with questions, to ask about access or correction of your information, to opt out of marketing communications, or to request deletion of eligible information. Applicable rights may vary depending on where you live, and we may need to verify your identity before fulfilling certain requests.

Third-party links and policy changes

Our website may link to third-party sites or services. We are not responsible for their privacy practices. Because Memory Box is running a pilot, this policy may be updated as our services and workflows evolve. We will post the effective date of any material changes.
